Description & Requirements
The Facilities Management Assistant Manager supports the delivery of reliable building services and infrastructure to meet the day-to-day operational needs, maintenance, and safety requirements of supermarket stores across multiple locations in Hong Kong and Macau. This role assists in coordinating maintenance activities, managing vendors, and ensuring facilities are safe, compliant, and maintained in a serviceable condition. It is a hands-on position suitable for individuals developing their expertise in facilities management.

The challenge is to:
1. Store and Facility Operations
- Support daily facility operations across multiple food retail locations.
- Coordinate routine maintenance, repair works, and service requests.
- Monitor site conditions and proactively report issues.
- Assist in implementing preventive maintenance programs.
2. Stakeholder & Vendor Management
- Coordinate with internal and external stakeholders, including landlords, building management offices, vendors, and government authorities.
- Follow up on service requests to ensure timely completion.
- Monitor vendor performance and escalate issues when required.
3. Maintenance & Repairs
- Respond to maintenance issues and coordinate corrective actions.
- Support troubleshooting of basic building systems (MVAC, electrical, plumbing and refrigeration system).
- Maintain maintenance logs and records.
4. Compliance & Safety
- Support compliance with local regulations and safety standards.
- Assist and conduct inspections, audits, and routine site surveys.
- Arrange required works and maintain documentation for licenses, certificates, and compliance records.
5. ESG (Scope 1 & 2) Support
- Assist in implementing energy efficiency and carbon reduction initiatives.
- Coordinate installation and maintenance of energy-efficient systems (e.g. LED lighting, high-efficiency HVAC, refrigeration upgrades).
- Identify opportunities for energy savings and operational improvements.
6. Store Improvement & Preventive Works
- Support minor improvement and preventive maintenance projects from tender preparation to project close-out and final accounts.
- Coordinate project schedules with internal teams and contractors.
- Ensure works are delivered on time and meet quality standards.
- Track defects and follow up on rectification works.
7. Budget & Cost Control
- Track facility-related expenses and process invoices.
- Support cost control by monitoring maintenance and utility expenses.
- Maintain accurate financial records for operations and projects.
8. Asset & Warehouse Management
- Maintain records of facility assets, tools, and equipment.
- Track asset condition, lifecycle, and maintenance schedules.
- Monitor spare parts and consumables inventory.
- Maintain warehouse organization and record keeping.
9. Operational Support
- Liaise with store teams to understand operational needs.
- Provide basic technical coordination and issue resolution.
- Escalate critical issues to Facility Manager / Head of Construction.
Do you have experience in Facilities Management?
- Degree in Engineering, Building Services, Facility Management or related disciplines
- 2-4 years of experience in facilities management, maintenance, or building operations
- Experience to multi-site environments (retail, supermarket or F&B environments preferred)
- Basic knowledge of building systems and maintenance practices, energy management or sustainability initiatives.
- Familiarity with MEP and builder work; refrigeration knowledge is an advantage
- Interest in sustainability and ESG initiatives is an advantage.
- Service-orientated mindset with the ability to work effectively under pressure, especially in fast-moving environments
- Good interpersonal and communication skills with the ability to manage competing priorities across teams
- Proactive, responsive, and detail oriented
