Is this your next challenge in Tenancy Administration?
The challenge is to:
- Provide day-to-day support to the Property Team on lease and tenancy administration matters
- Review, administer, and maintain tenancy agreements, leases, licences, and related documentation
- Prepare and maintain lease payment records, tenancy databases, and systematic filing systems
- Coordinate with internal stakeholders and external parties (e.g. landlords, legal advisors, agents) on tenancy-related matters
- Support the execution and tracking of tenancy and licence agreements, ensuring timely updates and completeness
- Maintain and update tenancy execution trackers and summary reports on a regular basis
- Assist in general vetting of tenancy and licence agreements in accordance with internal guidelines
- Prepare and maintain management reports including:
- Tenancy execution tracking
- Rates summaries
- Legal cost and stamp duty summaries
- Landlord and Estate Management contact lists
- Licence summaries
- Handle office administration duties including incoming/outgoing mail, document scanning, and filing
- Support applications and administration of bank guarantees and public liability insurance certificates
- Assist in handling antenna licence agreements and related documentation
- Perform data entry and monthly updates in the Lease Management System, including:
- Tenancies and licence agreements
- Management fees and air-conditioning adjustment records
- Carry out ad hoc administrative duties as required by the business
Do You Have Experience In This Area?
- Diploma or above in Business Administration, Property Management, or a related discipline
- Relevant experience in lease administration, property administration, or administrative support is preferred
- Detail-oriented with good organizational and documentation skills
- Able to manage multiple tasks and meet deadlines in a fast-paced environment
- Proficient in MS Excel and other MS Office applications
- Good communication skills and able to liaise effectively with internal and external parties
